Becoming an Event Manager – Utrecht Introduction Period (UIT)

Before and during the UIT, several event managers are active, who together with the UIT Team play an important role behind the scenes of the UIT. Event managers perform various functions and are ultimately responsible for their own set of tasks.

What does an Event Manager do?

As an Event Manager, you'll join the UIT Team starting around May, support them with various tasks, and play a major and important role behind the scenes at UIT!

You will support the UIT team in the preparation and production of program components.
You have both collaborative and individual tasks that vary by position.
During the UIT, you are ultimately responsible for certain program elements or tasks.
You will train and instruct mentors and crew members both before and during the UIT.

What are the requirements?

As event manager, you will be present one day a week during the month of May and June. During the months of July and August, you will assist the UIT Team full-time. In any case, you can just finish your academic year.

During the UIT you will be deployable throughout the week and also the following week for completion.

Experience with the UIT (as a participant, mentor or crew) is very helpful, but not a requirement!

What do you get in return?

A summer you will not soon forget! Together with the UIT team and all the volunteers you will be responsible for organizing the biggest student event in Utrecht. As an event manager you will expand your network and gain experience in different areas that will look great on your CV. The first two months (May and June) you will receive a volunteer allowance and in July and August you will receive a normal hourly wage for 40 hours per week.

What kinds of jobs are available?

As an Event Manager, you'll support the UIT Team in their work. See below for a list of possible roles*:

Event Manager Hospitality

As a Hospitality Event Manager, you will work with the Program Manager to recruit and maintain contact with hospitality managers, handle the liquor license, prepare purchasing estimates, and manage bar equipment; you will also obtain your Social Hygiene (SVH) certification if you do not already have it. You will also be responsible for developing the sales and cup system.

Event Manager All-round

As an All-Around Event Manager, you’ll be responsible for organizing and executing individual components of the UIT. You’ll support the UIT Team with various tasks related to the program, logistics, food and beverage, communications, volunteers, and external partners. This may include supporting:

Program: This includes creating event plans, making arrangements with the municipality and vendors, and setting up technical equipment such as power, water, lighting, and sound.
Logistics: This includes developing and overseeing the logistics plan and providing support at the logistics station.
Acquisition: This includes providing support for external partnerships or exploring potential funding sources.
Participants: Think about recruiting volunteers and mentors, guiding the Crew, and providing support during Crew and Mentor Day.
Communication: Think of things like helping with recruitment and promotion or creating content for social media.

Event Manager Program

As Program Event Manager, you will work alongside the Program Manager to help develop program components and turn ideas into realistic plans. You will also be responsible for coordinating the program components during the UIT.

Event Logistics Manager

As an Event Logistics Manager, you’ll work with the Logistics and Program teams to handle the behind-the-scenes operations: from transportation and storage to setting up the logistics station. You’ll ensure that the right materials are in the right place at the right time.

During UIT Week, you’ll spend at least one day working at the logistics station: the hub where all materials, transportation schedules, and last-minute arrangements come together. This will give you insight into the operational side of a major event and allow you to be truly involved in the organization of this unique student week from start to finish.

Do you need to have previous experience with the UIT?

No, that’s not necessary! Experience as a mentor or crew member at UIT is a plus, but definitely not a requirement. You also don’t have to be a member of a student organization to be eligible. We mainly look for motivation and dedication.
